Director of Administration – Los Angeles (Century City)

Robins Kaplan LLP, a national litigation law firm, has an exciting opportunity available for a Director of Administration to function as a business partner with the Office Managing Partner and senior leadership team, contributing to the strategic planning and implementation of goals and objectives for the office. This role reports to the Managing Director of Administration and works closely with the Office Managing Partner for the California offices. In this role, you will provide direction, guidance, and advice to attorneys and staff regarding the general business operations of the Firm and the office.


Your responsibilities will also include:

  • Assisting the Office Managing Partner, Managing Director of Administration and senior leadership team in the staffing and development of attorneys.

  • Staying abreast of current and pending applicable employment laws, judicial precedents and market trends in order to make recommendations for the business and operational strategy for the office.

  • Assist in developing administrative and business goals for the office.

  • Partner with the Office Managing Partner, Managing Director of Administration, Chief Administrative Officers and Chief Operating Officer to develop, interpret, and monitor the practices, policies and procedures of the office, ensuring they align with the goals, priorities and practices of the firm.

  • Assist in the development and implementation of the firm’s space planning.

  • Collaborate with the leadership of other offices and functional areas to develop and implement cross-office initiatives that are complex in scope and design, demonstrating consistent leadership to ensure successful implementation of such initiatives.

  • Provide overall supervision and development of office staff including hiring, staffing assignments, training, performance evaluation and feedback communications, and compensation recommendations.

  • Development, implementation and management of annual office operating budget.

  • Manage and partner with outsourced facilities/office services/hospitality/reception to ensure consistent and excellent service offerings.

  • Cultivate a positive and respectful office culture and work environment.

  • Other responsibilities as directed by the Managing Director of Administration and senior leadership team. 


Education/Experience:

  • Bachelor’s degree is required. Five to ten years of demonstrated experience in major functions of the position strongly preferred. Prior experience with commercial leasing, relocation and construction desirable.

Ability to occasionally travel to our Silicon Valley and Minneapolis locations.

HR Coordinator – Los Angeles (Century City)

Robins Kaplan LLP, a national litigation law firm, has an exciting opportunity for a self-starter looking to grow their Human Resources career. The HR Coordinator supports the firm’s national Human Resources team and is responsible for a broad range of human resource activities and administrative support for the Los Angeles and Northern California offices. This position reports to the firm’s Human Resources Manager, and works closely with the Director of Administration for the California offices.


Key Responsibilities:

  • Work with the national talent acquisition team and Director of Administration on support staff recruiting and onboarding.
  • Provide administrative support for attorney recruiting.
  • Coordinate and administer new hire orientation and onboarding processes.
  • Serve as primary local contact for general employee requests for information on HR/firm programs and policies.
  • Assist the Director of Administration with staff performance reviews.
  • Coordinate planned absences and ensure adequate coverage.
  • Coordinate Respectful Workplace training.
  • Stay abreast of applicable federal, state and local employment laws.
  • Coordinate firm functions such as community service opportunities, meetings and events.
  • Other responsibilities as needed.

This is a great opportunity for a skilled paralegal to take their career to new heights in a supportive environment. This role assists attorneys with the administration and preparation of all discovery, trial and case management aspects of client files and legal matters.

 

Keys to your success:

  • Four-year paralegal and/or a post-baccalaureate certification from an ABA-approved program required

  • At least 5 years of complex litigation experience required

  • Trial experience is strongly preferred

 

Knowledge or Skills Required:

  • Must be able to work as part of a team, yet be a self-starter and proactive thinker

  • Proficient in the litigation process and terminology

  • Proficient in Excel, Power Point, Relativity and Trial Director

  • Strong communication and interaction skills

  • Ability to exercise accurate professional and legal judgment and to understand and apply ethical standards required by the American Bar Association

  • Strong organizational, analytical, prioritization and research skills
